A useful first budget separates hospital charges from coordination, travel and supplier costs. It should state clearly which items are confirmed, estimated or still to be confirmed.
1. Keep hospital charges separate
Consultation, registration, testing, treatment, medicines and admission costs are set by the relevant hospital or medical institution. They depend on the department, clinical assessment, patient condition, insurance and the care actually provided. China MedTrip does not set or guarantee hospital fees.
2. Understand China MedTrip coordination fees
A written quote can cover the agreed non-clinical scope: record organisation, translation coordination, preparing, submitting and following up on a hospital appointment request, travel planning, accompaniment and post-visit document organisation. These are separate from hospital and third-party supplier charges.
What should the written coordination quote show?
Before accepting a service quote, ask for the agreed tasks, service language, city and visit dates or time window, who performs each task, what is excluded, payment timing, and how changes or cancellations are handled. Ask whether translation, interpretation, accompaniment, transport and accommodation are included or quoted separately. Keep hospital charges and any third-party supplier charges on separate lines; the hospital or supplier confirms those amounts.
3. Build the travel budget around hospital feedback
- Flights and accommodation for the patient and companion
- Airport transfers and city-to-hospital transport
- Translation or interpretation as agreed
- Visa, insurance and travel-document costs
- Time contingency for registration, waiting or schedule changes
4. Do not treat an appointment request as a hospital-price quote
China MedTrip can actively coordinate the appointment request, but the hospital decides whether it can accept the patient and confirms the final doctor, date and time. A confirmed consultation does not mean every later test, procedure or follow-up service has been priced or approved.
When can each amount be confirmed?
China MedTrip can confirm its agreed coordination fee in a written scope. A translator, driver or accommodation provider confirms its own quoted charge if that service is arranged. The hospital confirms its registration and consultation charges under its current process; later tests, treatment, medicines or admission may depend on clinical assessment. If you plan to claim insurance, ask the insurer about eligibility, direct billing, documents and reimbursement before assuming any expense is covered.
